HYPE Systems Inc. (“HYPE,” “we,” “us” or “our”) respects your privacy. This policy explains how we collect, use, disclose and safeguard personal information when you visit hypesystems.com, use our public assessment and calculator pages, contact us, request a demonstration or interact with links and forms made available through this website.
This policy concerns the public HYPE website. Personal information processed through HYPE products or customer services may also be governed by customer agreements, product documentation and other applicable policies.
1. Information we collect
Information you provide
Depending on how you use the website, you may provide your name, business email address, telephone number, organization, professional role, inquiry type, message, assessment responses, practice-size range, current workflow information, demonstration request details, marketing preferences or career-application information.
Career applicants are directed to a secure Zoho WorkDrive collection page to upload a résumé and cover letter. Payment or account-management information is handled through the applicable Zoho service and is not collected directly by this public website.
Information collected automatically
Necessary technical information may be processed to deliver the website, maintain security, prevent misuse and remember your privacy choice. If you select “Allow analytics,” Google Tag Manager may be used to collect information such as pages viewed, approximate location derived from an IP address, browser and device information, referring page and interactions such as opening a calculator, requesting a demonstration or submitting a form.
We do not intentionally collect patient information through this public website. Do not enter names, health-card numbers, clinical details or other patient-identifying information in any website form, calculator or assessment.
2. How we use information
We use personal information for purposes that include:
- responding to inquiries and requested follow-up;
- arranging demonstrations, workflow reviews and partnership discussions;
- delivering assessment results and understanding the operational context supplied by a visitor;
- processing career submissions;
- creating or updating a business lead in Zoho CRM when an inquiry is sales-related;
- operating, securing, troubleshooting and improving the website;
- measuring which pages, resources and tools are useful when analytics permission has been provided;
- sending product news or educational information only where the recipient has provided the applicable consent or another lawful basis exists; and
- meeting legal, regulatory, contractual and record-keeping obligations.
Submitting a general inquiry permits HYPE to respond to that inquiry. It does not automatically enrol you in promotional email. Where an optional marketing choice is offered, it is kept separate from permission to respond.
3. Consent and choices
Where consent is the appropriate basis for processing, you may withdraw it subject to legal or contractual restrictions and reasonable notice. You can choose “Necessary only” in the website privacy notice to prevent optional analytics from loading. Your choice is stored in your browser; clearing browser storage resets it.
Marketing messages from HYPE will identify the sender and provide an unsubscribe method where required. You may withdraw marketing consent at any time by using the unsubscribe method in the message or contacting us.
4. Service providers and disclosure
HYPE may use service providers to host the website, process forms, manage customer relationships, provide booking and support portals, store career submissions, deliver email and measure website use. These providers currently include services supplied by OpenAI, Cloudflare, Zoho and Google, depending on the feature used. We provide or permit access only to information reasonably needed for the applicable service.
We may also disclose information where required or permitted by law, to protect the rights, safety or security of HYPE or others, to investigate misuse, or in connection with a proposed or completed corporate transaction. We do not sell personal information collected through this website.
Some service providers may process information outside Ontario or Canada. Information handled in another jurisdiction may be subject to that jurisdiction’s laws and lawful-access requirements.
5. Retention and safeguards
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including follow-up, consent records, security, dispute resolution and legal or business record-keeping. Retention periods vary according to the type of information and the reason it was collected.
HYPE uses administrative, technical and physical safeguards appropriate to the sensitivity of the information. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security.
6. Access and correction
You may request access to personal information HYPE holds about you or ask us to correct inaccurate information, subject to applicable exceptions. We may need to verify your identity before completing a request.
7. Third-party websites
The website links to third-party services, including Zoho portals, booking pages, calculators and official healthcare resources. A third party’s privacy practices apply when you leave the HYPE website or interact with an embedded third-party service.
8. Children
This business website is intended for healthcare professionals, organizations, prospective partners, customers and job applicants. It is not directed to children, and HYPE does not knowingly collect personal information from children through it.
9. Changes to this policy
We may update this policy as our website, services or legal obligations change. The revised version will be posted here with an updated effective date.
